This Privacy Policy explains how Majoop B.V. (“Majoop”, “we”, “our”, or “us”) processes personal data when you use the Majoop platform, including the recruitment listings section of the platform and the recruitment tools provided through the platform.

This policy applies to:

  • jobseekers
  • recruiters
  • employers
  • visitors of the website

Majoop develops and operates a digital recruitment platform that includes recruitment management tools and collaboration features enabling employers to work with external recruiter organizations

Majoop may operate automated support systems or support portals to process requests efficiently.

3. Roles under GDPR

Depending on how the platform is used, Majoop may act either as:

  • Data Controller, or
  • Data Processor.

Employers and recruiter organizations determine how candidate data is processed within their recruitment workflows.

Controller

Majoop acts as controller for:

  • operation of the platform
  • user accounts
  • platform security
  • communication with users
  • fraud prevention and platform integrity

Processor

Majoop acts as processor when employers or recruiters use the recruitment tools to process candidate data.

In those situations the employer or recruiter is the data controller and Majoop processes personal data on their behalf.

The relationship between Majoop and business customers is governed by a Data Processing Agreement (DPA).

4. Infrastructure and service providers

Majoop may use third-party service providers to operate, maintain and support the platform.

These providers may process personal data strictly for the purpose of providing their services to Majoop.

Examples of such services may include:

  • cloud infrastructure and hosting
  • email delivery services
  • payment processing
  • technical infrastructure required to operate the platform

Service providers are required to process personal data only on documented instructions from Majoop and in accordance with applicable data protection laws.

Majoop may change service providers when necessary to operate or improve the platform.

5. Personal data we process

Personal data processed depends on the role of the user and how the platform is used.

The platform distinguishes between the following categories of users:

  • website visitors
  • jobseekers (registered users)
  • employers
  • external recruiters

Processor

Website visitors are individuals who browse the website without creating an account.

Possible data processed includes:

  • IP address
  • browser and device informatio
  • basic system logs

This data is processed only for operating and securing the website.

Majoop does not use analytics cookies or tracking technologies for website visitors.

Processor

Jobseekers are registered users of the platform.

Possible data includes:

  • email address
  • profile information
  • CV or resume
  • job applications
  • communication through the platform

Providing additional personal information is optional and depends on what the user chooses to include in their profile or applications.

CVs and profiles belonging to jobseekers may be stored within the platform. These are not shared with employers or recruiters unless the jobseeker explicitly chooses to share them or submits an application to a vacancy

Jobseekers can control whether and with whom their profile or CV may be shared.

Employers

Employers are organizations using the Majoop platform to manage recruitment processes

Possible data includes:

  • account holder name
  • business contact information
  • company information
  • job postings
  • recruitment activity within the recruitment tools through the platform

To ensure platform integrity and prevent fraud, Majoop may performbusiness verification checks (KYB) on employer accounts

External recruiters

External recruiters may participate in recruitment processes through the collaboration features of the platform.

Recruiters are required to operate through a registered business entity.

Possible data includes:

  • name
  • email address
  • business information
  • recruiter activity within the platform

Majoop may perform business verification checks to verify recruiter identities and maintain platform trust.

Candidate data within recruitment tools

Employers and recruiters may use the Majoop recruitment tools to manage candidate pipelines.

Candidate data stored within these tools may originate from multiple sources, including:

  • applications submitted by jobseekers through the platform
  • candidate profiles or CVs uploaded by recruiters
  • candidates added by employers within their recruitment workflows

Candidate data stored within these tools may include:

  • application data
  • CVs
  • recruitment notes
  • communication related to recruitment

Where recruiters upload candidate information to the platform, they act as the data controller for that data and are responsible for ensuring that such information has been lawfully obtained and that relevant individuals have been appropriately informed where required under applicable data protection laws

In such scenarios Majoop acts solely as a data processor providing the technical infrastructure of the recruitment tools. Majoop does not independently contact or communicate with those candidates unless communication is initiated by the employer or recruiter using the platform.

Such data is processed by Majoop on behalf of employers or recruitersusing the recruitment tools

Recruitment listings section of the platform

Majoop operates a recruitment listings section where vacancies may originate from:

  • employers using the Majoop platform
  • external websites where vacancies are publicly available

When jobseekers apply to vacancies hosted on the Majoop platform, their application may be processed through the recruitment tools.

Majoop does not share personal candidate data with employers or recruiters unless the jobseeker explicitly initiates or authorizes such sharing.

6. Purpose of processing

Majoop processes personal data for the operation of its recruitment platform and recruitment tools.

The purposes of processing include:

Platform account management

  • creating and managing user accounts
  • authenticating users
  • maintaining platform security

Recruitment services

  • enabling jobseekers to apply for vacancies
  • enabling employers to manage recruitment through the recruitment tools
  • enabling collaboration between employers and external recruiters

Notifications and communications

Majoop may send service‑related emails such as:

  • account notifications
  • platform updates
  • important service communications

Jobseekers may optionally subscribe to job alerts or notification emails based on their preferences.

Such notifications are only sent when a user has explicitly opted in or configured these preferences.

Majoop does not send unsolicited marketing emails.

Identity verification

To maintain platform integrity and prevent fraud, Majoop may perform verification checks for business users.

Platform security and fraud prevention

Personal data may be processed to:

  • detect misuse of the platform
  • prevent fraud
  • maintain system integrity

Operating and improving the platform

Data may be used to operate, maintain and improve the platform and its services.

Majoop provides the technical infrastructure used by employers and recruiters to manage recruitment workflows. Majoop does not determine recruitment outcomes or hiring decisions and does not act as an employment agency or recruiter.

7. Legal basis

Under the GDPR, Majoop processes personal data based on the following legal grounds.

Performance of a contract

Processing necessary to provide the platform and its services, including:

  • creating and maintaining user accounts
  • enabling job applications
  • enabling employers and recruiters to use the recruitment tools
  • operating recruitment collaboration features of the platform

Legitimate interests

Majoop may process certain data where necessary for its legitimate interests, provided that such interests are not overridden by the rights and freedoms of users.

These interests include:

  • maintaining platform security
  • preventing fraud or misuse
  • ensuring the integrity of recruitment workflows
  • operating and maintaining the technical infrastructure

Consent

Certain processing activities rely on user consent.

Examples include:

  • job alert email
  • notification emails configured by users

Users can withdraw consent at any time by adjusting their account settings.

8. Data retention

Personal data is retained only for as long as necessary to provide the platform or comply with legal obligations.

Jobseekers

Account data is retained while a jobseeker account remains active.

Jobseekers can permanently delete their account at any time through the platform.

Employers and recruiters

Business account data is retained while the account remains active and while the services are being provided.

Where accounts become inactive, business account data may be retained for a limited period of up to one year to allow account recovery, dispute resolution, and administrative purposes.

Candidate data within recruitment tools

When employers or recruiters process candidate data through the recruitment tools, they determine the retention period for recruitment data in accordance with their own legal obligations.

9. Data retention

Majoop shares personal data only where necessary for the functioning of the platform, where a user has chosen to share data, or where sharing is required by law.

Employers using recruitment tools internally

Where an employer uses the recruitment tools with its own internal recruiters, candidate application data may be made available within that employer's internal recruitment environment.

External recruiters

Where an employer engages an external recruiter through the platform, communication with candidates may take place through that recruiter rather than directly with the employer.

In such cases Majoop does not disclose candidate personal data to the employer unless such disclosure is initiated or authorized by the jobseeker or otherwise forms part of the recruitment workflow chosen by the relevant parties.

In certain recruitment workflows, anonymized candidate information may be shared with employers before personal details are disclosed.

Jobseeker-controlled sharing

CVs and candidate profiles are not shared with employers or recruiters by default.

Jobseekers control whether their CV or profile may be shared and, where relevant, with whom.

Service providers and legal obligations

Personal data may be shared with:

  • service providers supporting operation of the platform
  • payment processors where necessary to complete transactions
  • public authorities or regulators where required by law

Service providers are contractually required to protect personal data and may only process data for the purpose of providing their services.

Majoop does not sell personal data.

10. International transfers

Majoop operates an international platform that may be accessed by users worldwide.

Personal data may therefore be processed in different jurisdictions depending on where users, employers, recruiters, or service providers are located.

Where personal data originating from the European Economic Area (EEA) is processed outside the EEA, Majoop ensures that appropriate safeguards are implemented in accordance with applicable data protection laws, including mechanisms intended to ensure an adequate level of data protection.

11. Your rights

Under the GDPR, individuals have certain rights regarding their personal data. These rights may include:

  • the right to access personal data
  • the right to correct inaccurate data
  • the right to request deletion of personal data
  • the right to restrict processing
  • the right to data portability
  • the right to object to certain processing activities

Majoop may ask for additional information to verify the identity of the requester before processing such requests.

In the future certain rights may also be exercisable directly through the platform interface.

Individuals also have the right to lodge a complaint with a competent data protection supervisory authority in the jurisdiction where they reside, work, or where an alleged infringement has occurred.

12. Automated decision making

Majoop does not make automated decisions about individuals that produce legal effects or similarly significant effects within the meaning of applicable data protection laws.

The platform may provide automated tools that assist employers and recruiters in reviewing candidate information. These tools may include indicative matching scores or ranking indicators based on information contained in CVs, candidate profiles, job requirements, skills, or experience.

Such scores or indicators are provided solely as decision-support tools for employers or recruiters using the platform. They are visible only to those users and are intended to help them evaluate candidate information more efficiently.

These automated indicators do not automatically accept, reject, shortlist, or otherwise determine outcomes for candidates. The platform does not execute automated actions based on these scores.

All recruitment decisions, including screening, interviewing, shortlisting, and hiring decisions, are made solely by the employers or recruiters using the platform.

13. Security

Majoop implements appropriate technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse or alteration.

These measures include safeguards related to platform infrastructure, encrypted communications, access controls and operational security.

14. Changes to this policy

Majoop may update this Privacy Policy when necessary to reflect changes in the platform, services or applicable legal requirements.

The most recent version will always be published on the website.

Continued use of the platform after an updated version becomes effective constitutes acceptance of the revised Privacy Policy.
